Create, send and sign a handover document<\/h1>\n\n

\n StageReturn\u2019s electronic signature feature lets you create a complete handover document, include photo evidence and custom fields, and have it signed through a secure link directly accessible from the generated document.\n <\/p>\n <\/div>\n\n\n \n

    1. What is the electronic signature used for?<\/h2>\n\n

    \n StageReturn\u2019s electronic signature feature provides proof that equipment has been handed over to a person, client, technician or team member.\n <\/p>\n\n

    \n It can be associated with project information, the equipment concerned, photos taken before departure and recipient information.\n <\/p>\n\n

    \n Once the document has been signed, StageReturn keeps the final handover document together with the information related to the signature and its authenticity.\n <\/p>\n\n

    \n Example :<\/strong>\n You hand over a speaker to a technician for an event. You photograph its condition before departure, generate the handover document and have the technician sign it. If the equipment is damaged when returned, you have the signed document and the associated photo evidence.\n <\/div>\n <\/div>\n\n\n \n

    2. Create a handover document from a project<\/h2>\n\n

    \n A handover document is created directly from a StageReturn project.\n <\/p>\n\n

    \n Open the relevant project, then go to the\n Pre-departure tab<\/strong>.\n <\/p>\n\n

    \n This section lets you document the condition of the equipment before it is handed over and prepare the information that will be included in the document.\n <\/p>\n\n

    3. Add evidence and customize the handover document<\/h2>\n\n

    \n Before generating the handover document, you can add photos to keep a visual record of the condition of the equipment.\n <\/p>\n\n

    \n You can also customize the document by adding any fields you need. StageReturn lets you freely define the information to include in the handover document based on your activity and the context of the project.\n <\/p>\n\n

    \n Examples :<\/strong>\n For a vehicle rental, you can add the driver\u2019s license number<\/strong>, mileage<\/strong>fuel level or driver\u2019s name. For audiovisual equipment, you can add an internal reference, the name of the technician responsible, the number of accessories handed over, or any other useful information. These fields appear directly in the generated handover document.\n <\/div>\n <\/div>\n\n\n \n

    4. Add a recipient if needed<\/h2>\n\n

    \n Adding a recipient is optional<\/strong>. The handover document can be generated without specifying a particular person.\n <\/p>\n\n

    \n The company associated with the project already appears in the document header. However, you can add a recipient when you want to clearly identify the person receiving the equipment.\n <\/p>\n\n

    \n Adding a recipient is therefore an optional feature, not a required step.\n <\/div>\n <\/div>\n\n\n \n

    5. Generate the handover document before signing<\/h2>\n\n

    \n Once the information has been entered, StageReturn generates the complete handover document<\/strong>. It includes the project information, photo evidence, custom fields and, if you added one, the recipient.\n <\/p>\n\n

    \n A clickable signature link is embedded directly in the document<\/strong>. This means the entire handover document can be reviewed before the person decides to sign it.\n <\/p>\n\n

    \n Tip:<\/strong>\n Check the generated document before sending it to make sure the evidence and information displayed are correct.\n <\/div>\n <\/div>\n\n\n \n

    6. Send the handover document<\/h2>\n\n

    \n The generated document can then be sent by email, instant messaging, or any other communication method used by your company.\n <\/p>\n\n

    \n The person receives the complete handover document, can review it, and then use the embedded link when they are ready to access the signature page.\n <\/p>\n\n

    \n StageReturn therefore provides a complete document ready to be reviewed and signed, rather than a standalone signature link.\n <\/div>\n <\/div>\n\n\n \n

    7. Sign with StageReturn Signature<\/h2>\n\n

    \n When the person clicks the link in the handover document, they are taken to the dedicated StageReturn Signature page.\n <\/p>\n\n

    \n The page can be used from a smartphone, tablet or computer.\n <\/p>\n\n

    \n The signer enters the requested information, can add a comment if needed, and signs directly in the signature area.\n <\/p>\n\n

    8. Generate the signed document<\/h2>\n\n

    \n Once the signature has been confirmed, StageReturn generates the final version of the handover document.\n <\/p>\n\n

    \n The signed document contains the information from the original document, along with the elements required to keep a record of the signature.\n <\/p>\n\n

    \n An authenticity certificate is also associated with the document so that its authenticity can be verified later.\n <\/p>\n <\/div>\n\n\n \n

    9. Receive the signed document by email<\/h2>\n\n

    \n Once the signature is complete, a copy of the signed handover document is automatically sent to the email address provided by the signer.\n <\/p>\n\n

    \n The signer therefore receives their own copy of the signed document directly by email.\n <\/p>\n\n

    10. Find the signed handover document in StageReturn<\/h2>\n\n

    \n After signing, the document is automatically associated with the corresponding project in StageReturn.\n <\/p>\n\n

    \n You can find the handover documents directly in the project\u2019s\n Pre-departure tab<\/strong> alongside the evidence and documents related to the handover of the equipment.\n <\/p>\n\n

    \n This means you do not need to search through your emails or external folders to find the documents.\n <\/p>\n\n

    \n The Pre-departure tab<\/strong> centralizes evidence, handover documents and signed documents associated with the project.\n <\/div>\n <\/div>\n\n\n \n

    11. Verify authenticity with the QR code<\/h2>\n\n

    \n Signed documents generated by StageReturn include elements that allow their authenticity to be verified.\n <\/p>\n\n

    \n A verification QR code<\/strong> is included in the document. Scanning it opens the StageReturn verification page.\n <\/p>\n\n

    \n StageReturn also uses a digital fingerprint of the document to verify its integrity.\n <\/p>\n\n

    \n If equipment is returned damaged, an item is missing, or there is a disagreement about its original condition, you can quickly retrieve the information documented before departure.\n <\/p>\n\n
