Create, Track, and Document Your Repairs

1. What Is a Repair Used For?

A repair record is used to track equipment requiring technical intervention. It stores important information such as serial number, photos, diagnostics, status, costs, history, and repair reports.

Example : A machine is returned with an engine failure. A repair record is created to track diagnostics, replaced parts, total cost, and return to service.

2. Access the Repairs Module

Repairs can be accessed from the main StageReturn menu through the Repairs module. This page groups repairs that are pending, in progress, or completed.

Example : A repair technician opens the StageReturn menu, accesses the Service Repairs page, and quickly finds all pending interventions in their warehouse.

3. Create a Repair from a Defect or Equipment

A repair can be created directly from an equipment or defect detail page. This automatically keeps the connection with the project, serial number, photos, and problem description.

Example : A vehicle is returned with a broken side mirror. From the defect record, the user creates a repair. StageReturn automatically reuses the relevant information without requiring manual re-entry.

4. Repair Diagnostics

A repair can contain multiple diagnostics to accurately track the progress of the intervention.

  • Initial Diagnosis : The issue identified when the repair is created.
  • Service Diagnosis : The analysis performed by the technician or repair workshop.
  • Final Diagnosis : The final report after the repair has been completed.
Example : Initial diagnosis: "does not start". Service diagnosis: "faulty battery and oxidized connector". Final diagnosis: "battery replaced, connector cleaned, testing completed successfully".

5. Add Repair Costs

StageReturn allows you to record costs related to a repair, including parts, labor, and additional expenses. This information improves internal tracking and report generation.

Example : A repair includes $45 in parts, $80 in labor, and $15 in miscellaneous expenses. The total cost is stored in the repair record.

6. Track Repair Status

Repairs can be tracked using different statuses to quickly identify what still needs attention.

  • To Do : The repair has been created but has not yet started.
  • In Progress : l’intervention est en traitement.
  • Completed : The repair has been finalized.
Example : A replacement part is awaiting delivery, so the repair remains in progress. Once the part is installed and testing is completed, the repair is marked as completed.

7. Search History by Serial Number

Each repair is linked to a serial number or equipment identifier. You can manually search for a serial number or scan it to retrieve previous repairs.

Example : A technician receives equipment in the workshop. They scan the serial number and instantly access previous repairs, diagnostics, photos, costs, and previously generated reports.

8. Generate a PDF Report

A repair can generate a PDF document to keep a clear record of the intervention. This document can be used as an internal report, a service report, or a document attached to equipment records.

Example : After repairing a machine, the technician generates a PDF summarizing diagnostics, photos, costs, and the final result. The document can be archived or printed and attached to the equipment record.

9. Understanding ERP Immobilization

If your company uses a compatible ERP integration, StageReturn can manage equipment immobilization. This option informs third-party software that the equipment should not be considered available.

ERP immobilization is independent from the repair's internal status. You decide whether equipment should be immobilized or not.

Example : A lift awaiting repair is immobilized in the ERP system to prevent it from being booked or rented out before returning to service.

Best Practices

  • Create repairs directly from the related defect or equipment record.
  • Update diagnostics throughout the repair process
  • Add photos whenever relevant.
  • Record costs to maintain a clear history.
  • Use serial number scanning to access repair history.
  • Close completed repairs.
  • Generate a PDF whenever you need to archive or share a report.
