StageReturn’s electronic signature feature lets you create a complete handover document, include photo evidence and custom fields, and have it signed through a secure link directly accessible from the generated document.
StageReturn’s electronic signature feature provides proof that equipment has been handed over to a person, client, technician or team member.
It can be associated with project information, the equipment concerned, photos taken before departure and recipient information.
Once the document has been signed, StageReturn keeps the final handover document together with the information related to the signature and its authenticity.
A handover document is created directly from a StageReturn project.
Open the relevant project, then go to the Pre-departure tab.
This section lets you document the condition of the equipment before it is handed over and prepare the information that will be included in the document.
Open the relevant project.
Go to the Pre-departure tab.
Add your evidence and photos showing the condition of the equipment.
Select the option to create a handover document.
Before generating the handover document, you can add photos to keep a visual record of the condition of the equipment.
You can also customize the document by adding any fields you need. StageReturn lets you freely define the information to include in the handover document based on your activity and the context of the project.
Adding a recipient is optional. The handover document can be generated without specifying a particular person.
The company associated with the project already appears in the document header. However, you can add a recipient when you want to clearly identify the person receiving the equipment.
Once the information has been entered, StageReturn generates the complete handover document. It includes the project information, photo evidence, custom fields and, if you added one, the recipient.
A clickable signature link is embedded directly in the document. This means the entire handover document can be reviewed before the person decides to sign it.
The generated document can then be sent by email, instant messaging, or any other communication method used by your company.
The person receives the complete handover document, can review it, and then use the embedded link when they are ready to access the signature page.
When the person clicks the link in the handover document, they are taken to the dedicated StageReturn Signature page.
The page can be used from a smartphone, tablet or computer.
The signer enters the requested information, can add a comment if needed, and signs directly in the signature area.
The person reviews the handover document and clicks the signature link embedded in it.
They enter the requested information and can add a comment.
They add their signature and confirm the document.
Once the signature has been confirmed, StageReturn generates the final version of the handover document.
The signed document contains the information from the original document, along with the elements required to keep a record of the signature.
An authenticity certificate is also associated with the document so that its authenticity can be verified later.
Once the signature is complete, a copy of the signed handover document is automatically sent to the email address provided by the signer.
The signer therefore receives their own copy of the signed document directly by email.
After signing, the document is automatically associated with the corresponding project in StageReturn.
You can find the handover documents directly in the project’s Pre-departure tab alongside the evidence and documents related to the handover of the equipment.
This means you do not need to search through your emails or external folders to find the documents.
Signed documents generated by StageReturn include elements that allow their authenticity to be verified.
A verification QR code is included in the document. Scanning it opens the StageReturn verification page.
StageReturn also uses a digital fingerprint of the document to verify its integrity.

The StageReturn verification page opens.
The document’s authenticity information can be checked.
The handover document can be used in many situations where equipment is temporarily handed over to another person.
Photograph the condition of the vehicle before departure, then have the driver sign to keep a record of its condition at the time of handover.
Document the condition of a speaker, projector, screen or other equipment before handing it over to a technician or client.
Keep a record of equipment entrusted to a technical team or service provider during an intervention or while working off-site.
Have the person collecting the equipment sign directly when it is picked up from your warehouse.
Associate pre-departure evidence and the responsible person’s signature with a filming, live performance or event project.
Record and have the condition of the handed-over equipment signed so that each party has a copy of the document.
Electronic signatures complement StageReturn’s traceability tools.
Pre-departure evidence, the handover document, the signature and the final document remain associated with the project, providing a clear history of the equipment handover.
If equipment is returned damaged, an item is missing, or there is a disagreement about its original condition, you can quickly retrieve the information documented before departure.
